How To Optimize Your Virtual Assistant’s Time

Topping the list of benefits an entrepreneur receives from hiring a Virtual Assistant is gaining more time for themselves – but only if you maximize their time. Here are ways to help you handle your Virtual Assistant (VA).

6. DELEGATE ROUTINE TASKS. This has been the case since the evolution of Virtual Assistants years ago. I know you already got this. Everything repetitive and time consuming should be right away passed on to the VA.
5. USE TOOLS / APPS. Speed up the process where you can. For Project / Task Management, use Asana, Wrike or Trello which I personally love using. For sharing files, use GDrive, Dropbox or any cloud storage that you’re comfortable to use. For access credentials, I highly recommend you use a Password Manager. The one I’ve trusted all these years is Last Pass. At the end of the day, automate where you can.
4. RESPECT. This is earned over a period of time, I know. But start with showing patience and treating them with kindness. In no time, you’d surely get into the groove with your VA. You’ll surely benefit more from a good working relationship. Happy workers are more productive!
3. OPEN COMMUNICATION LINES. Email, phone, chat. Let your VA know that they can reach out to you for enlightenment in instructions, tips in working at new tasks and even securing feedback from on their performance. If you feel you’re over communicating or even if you are, trust me when I say, it makes the working relationship stronger and surely, you’ll be rewarded.
2. PROVIDE CLEAR INSTRUCTIONS. Always. This usually sparks issues that eventually lead to you feeling that you got the wrong VA or the VA is not your thing. Documenting your processes or creating video tutorials greatly help to starting out with your Virtual Assistant. Or creating an internal Wiki.
1. SET GOALS or EXPECTATIONS, if any. Be realistic when you do them and know the difference between these two. During the onboarding process, explain these to your Virtual Assistant and what matters most to you. There are practical limits in what a VA can do without ever meeting you in person; it’s not like your VA is just outside your office cubicle.
