How To Communicate With Your Virtual Assistant For Increased Productivity

Communication is key.. but not just simply communicating. It must contain the 5 C’s – clarity, consistency, creativity, content, and connections. Especially with offshore work where it is a challenge to some clients who think that English not being the first language is indeed an issue with delegating work. Like in any other relationships, having the right kind and approach, it will work out.

1. Use video conferencing. Always better to see who’s at the other end. If you have the camera, then please use it giving you both an opportunity to understand what you’re saying, including your facial expression and body language. These can facilitate better communication and give you both a deeper insight on your meeting agenda.
2. Communicate your schedule. Set a fixed meeting schedule. We highly recommend this. Weekly meetings are perfect. In the event that you have emergencies or unexpected changes, then you have something to swap to secure another slot.
3. Use different mediums in communicating. If you have something to say or ask, use email, social media platforms and our website live chat. Don’t think of over communication because you have the right to do so.
4. Give and ask for feedback. Motivate your Virtual Assistants by being generous with your feedback any time – not just after the completion of your delegated task or project. Giving feedback is a great way to strengthen your relationship with the VA.
5. Acknowledge messages. We know you are busy and might not have the time to reply with all the details we need but please do acknowledge with a word or too. Just don’t leave us hanging in mid-air wondering when you’ll get back at us.
Success in communication is 2-way. It can not just depend on us. You have to do your thing for us to do our thing. We’ll do ours, so we’ll trust on you to do yours.
